Registration Policies

Spouse/Guest Registration

Spouse / guest registration is meant to accommodate legal spouses and immediate family members.

Attendees from the same organization must register independently.  No exceptions will be made.

Spouse / guest designation will be clearly visible on name badge.

Registration Confirmation Information

Online registrants will receive immediate email confirmation.  If registering by form, confirmation will be emailed within 72 hours of receipt of payment.

Registration Cancellation/Refund Policy

Registrations cancelled prior to 5:00pm EST July 17, 2013 are subject to a $100 cancellation fee.  Registrations are non-refundable after 5:00pm EST July 17, 2013. All refund requests must be made in writing and sent via email to meetings@alec.org. Registration fees may be transferred from one registrant to another. Please send a transfer request in writing via email to meetings@alec.org.

Who may register — ALEC reserves the right to determine eligibility of any applicant as an attendee up to and including the dates of the event. ALEC may, in its sole discretion, determine that certain individuals or groups are ineligible to attend.

Check-In/Out Time

Check-in time is 3:00pm. Check-out time is 12:00pm.

All guests arriving before 3:00pm will be accommodated as rooms become available. Hotel Guest Service Department can arrange to check baggage for those arriving early when rooms are unavailable and for guests attending functions on departure day.

How to Make a Hotel Reservation

To make a reservation you must be a registered attendee of the ALEC Annual Meeting in Chicago, IL. You will receive a special link upon completing the registration process in your confirmation email. Should you have any problems please contact ALEC’s Events Office by calling 202-742-8538.

In order to receive our group rate, ALEC attendees may only register via the link sent in the confirmation email received after completing registration. You may contact us directly via email at nnguyen@alec.org for further information.

Reservations must be made on or before the cut-off date: July 17, 2013.

Deposits/Confirmation

In order to confirm your room assignment, the hotel will require you to provide a first night’s deposit, refundable up to 72 hours in advance of your arrival date. Checks and major credit cards are acceptable to establish prepayment. All credit cards used to prepay will be charged immediately. The hotel will deduct any collected nonrefundable prepayment fees from the amount you may owe as performance or cancellation damages.

Hotel Cancellation/Refund Information

Cancellations made within 24 hours of arrival will forfeit one night’s room and tax. All changes and/or cancellations must be made directly with the hotel. Please obtain a cancellation number when your reservation is cancelled.

Early Departure Fee

If a guest has requested a room within ALEC Block checks out prior to the guest’s reserved checkout date, the hotel will add an early checkout fee to that guest’s individual account of $100.00. Guests wishing to avoid an early checkout fee should advise the Hotel at or before check-in of any change in planned length of stay.
